WebApplication Permission Policy in SharePoint 2010

After long time I found some time today to share my new experience in my new organisation. Since last 10 weeks I was working on my 1st ever SharePoint implementations assessment assignment. And ad on to that it was for SharePoint 2010.

My Assignment included to set up or to be precise suggest the Architecture for implementation of SharePoint 2010.

One of the requirement from the client is real time. They were planning to make their intranet portal available on extranet users as well. But they want the restriction on some of the confidential documents when same user accessing the portal from extranet.

Requirement: User A is a exist as a Store Manager in AD. He should be able to access the document on portal only when he is accessing it from store or say from Intranet. At the same time when User A is trying to access the same document on portal from Home through extranet the document should not be accessible to him.

Myth:It can be achieved by using (1) Audiance Target (2) Creating different group for Intranet and Extranet.

Solution: I would say option (2) is half true. But My Document library is having a permission only for Intranet Group. Now when user A who is a part of both Intranet & Extranet Group how SharePoint will know when User A is accessing the portal from Extranet or Intranet?

Answer to this is Web Application Permission Policy in SharePoint 2010.

Step1: Create portal http://myportal for "Intranet Zone"
Step2: Go to Central Admin and Extend "http://myportal" for "Extranet Zone"
Step3: Select the created "http://myportal" and select Permission Policy from the "Ribbon" on the top.
Step4: Create new policy for "Deny" and add Intranet AD group to that, which will prevent the site to be accessed for the defined group in the Deny Policy.

Now when User A is accessing the portal from extranet and entered the site, SharePoint knows that User A is accessing the portal as a part of Extranet AD Group and not allowed him to access the Document Library which is only having an access to Intranet Group users.

Modify the message that appears on an empty document library

We came across a very simple problem, and solution is more simpler. :)

We wanted to change the message appearing when there is no document in the document library.

Solution:The text comes from the core.resx resource file, located in 12\RESOURCES. It's divided up into four resources; just open the resource file in any text editor and search for "noitemsinview_doclibrary", and you'll find the strings.

NOTE: This will change globallly... and you shouldn't rely on changes to the system resource files directly - hotfixes or service packs might overwrite your changes.

Search Crawling Stops or The parameter is incorrect in sharepoint search

This is one of the worst problem I came across. :(

I don't blame Microsoft for this, but I can say a wrong governance model is the reason for this.

Problem: My client complaint that a new item added on the site is not comes under a search result since last few days. I spent lot of a time to find out the real cause. When I have gone through the Search Crawling log an error is found saying "The parameter is incorrect in sharepoint search". When I checked for all the other sites on the farm all are working fine with search and none of the site has given such error at the time of crawling. That has increased my curiosity.

After spending a full day at last I found a reason and its a cause for small party ;), thanks to Mattias Lindberg

Solution: The reason which stops the crawling for the site is the user we have added in the site are more than 5000 in a particular group instead of adding an AD Group.

I am just copying the workaroung given by Mattias below.

Our solution was to require sites with over 1500 members to use an AD group for keeping track of membership, as recommended by the KB for SPS 2003. One disadvantage with this approach is that you must maintain membership by updating the AD group so you can no longer request membership using SharePoint standard dialogs.

Probably an article is wriiten for SPS 2003 but infect it is applied to MOSS 2007 as well.

Set Domains for People Picker in SharePoint

I am currently working with one of the retail client where we have one requirement as below.

Client is having 4 different domains set for their different group of companies.
1) abc, 2) def, 3) uvw and 4) xyz.
Now client doesn't want a users from domain "uvw" to search by anyone (including site admin) in people picker.

Solution:

SharePoint Approval workflow restart on Edit Item

This is a very old and very common requirement. But after working on SharePoint since last 3 years this is the first time I came around with such problem and it is very surprising for me as well that why I never came across such problme in past.

2. HotFix is already installed on the servers.

Problem Statement

I have one Document Library called : Company News, I have attached a sequential workflow with Approval and Publisher group with On Add and Edit items. Now whenever a new item is created in document library it starts the workflow and approver approves it.

Once approver approve the item, it goes to publisher being asequential workflow for their approver. But since publisher is also approving the item, it is still showing an item as InProgress.

Solution

Since long I have a question that how can I implement a session time out in SharePoint sites. But i never explore as there is no such requirement in any of my project till now.

Suddenly the requirement came and we have to suggest a way to do that with the minimal efforts. And after searching on google i found this and this..., though still we haven't implemented it :(

I am giving you the easiest way directly here to implement that, edit your master page and add the below script in javascript block.

Hide WebPart at run time

In one of my project we had a requirement to hide the WebPart based on the logged in user's department-id. We are not able to use Audiance Targeting to achieve this cuase we were getting user's department id using webservice from 3rd party system only.
What I did, I wrote my custom RSS Viwer WebPart with custom field. And Thanks to SharePoint Developer Center, I found a solution to hide the webpart at runtime very easily.

One of the things that people are not aware of is that you can customize the search results coming from the SharePoint search engine. The results, which is XML, given by the engine are styled using XSLT. If you create your own XSLT you can customize/restyle your results page.
There is a 'Visual How To' by Patrick Tisseghem explaining the steps you need to do to customize the search page.
You can do the same trick with the Best Bets meaning, you can customize them by applying your own XSLT. Before we are going to customize the Best Bets, Kevin explains what they do an how you can use them.
Best Bets are used to promote some results depending on your search keywords. If you look at the screenshot below you see that when I type SharePoint in the search box, U2U and Microsoft are pushed forward as results where you definitely can find something about SharePoint. So if you think about it, Best Bets is a way for an administrator to earn some extra money, the one who pays the most gets on top of the list.

You can do the following:
1. Go to the following folder at the MOSS server:C:\Program Files\Common Files\Microsoft Shared\Web Server Extensions\12\TEMPLATE\CONTROLTEMPLATES
2. Open file Welcome.ascx in the editor
3. There are more elements. For all those you don't want to display to the users, add the attribute:Visible="False"
For example:

WARNING: this is shared file on the Farm-level, so it means, if you do this, the items will not be visible at any SP site on your farm.
And, yes, of course, on the similar way you can add custom menu items under welcome. Just use the attribute
ClientOnClickNavigateUrl="BLOCKED SCRIPT..."
You can define JavaScript function to jump to the custom page or just use Window.Location() to write destination inline.

Information Rights Management (IRM) provides an additional layer of content security over that provided by more traditional access control lists (ACLs). IRM establishes usage limitations on a file rather than limiting access. For example, you may grant a user access to a file but you may not want them to change the file on the client computer or forward it to someone else. IRM provides this additional level of security.

Implementing IRM security in SharePoint Products and Technologies requires additional software that is not shipped with either Windows SharePoint Server 3.0 or Office SharePoint Server 2007. You must install the Microsoft Windows Rights Management Services Client, version 1, on every Web front-end server in your server farm. In addition,Microsoft Windows Rights Management Services (RMS) for Microsoft Windows Server® 2003, service pack 1.0 or later, must be available on your network.

You can implement IRM on document libraries. When IRM is enabled on a document library, and a document of a type that can be rights-managed is downloaded from the server to a client application, the SharePoint Products and Technologies server encrypts the document and adds an issuance license. When the document is uploaded back to the server, the SharePoint Products and Technologies server decrypts the file and stores it in the library in unencrypted form, as content is not encrypted in the SQL Server database. This enables features such as search and indexing to operate as usual on the files in the IRM-protected document library. The IRM permissions that are applied to a document when users upload it to a document library are based on each user's permissions for the content in the SharePoint Products and Technologies server security settings.

Microsoft Windows SharePoint Services 3.0 does not have the Microsoft® Office protector files that are required to automatically rights-protect a document when it is uploaded. You must use Office SharePoint Server 2007 to do this. More...

Example Case

An example hospital has different floors on their hospital. They have created a new field in the Patient Admissions list called “Floor”. Users are given a drop-down box of options for what floor a patient is admitted to. Users would like to know if they can set up Patient Admissions list alerts so that they are only notified when patients are admitted to THEIR floor. SURE THEY CAN!
First, the appropriate VIEWS need to be created, one for each “floor”. Create 4 new views for: 1 North, 1 South, 2 North, 2 South
The first view will have a filter of: Show the items when column Floor is equal to 1 NorthCreate the other 3 views with filtering for each of their appropriate floor names

Creating the Alerts.

On the Patient Admissions list, click and choose
In the Send alerts for these changes section, choose the very last option called “Someone changes an item that appears in the following view”
Then, in the drop-down box for that option, choose the name of the floor for which you’d like to receive alerts.
In summary, any data in any field of your list can be filtered into a View. Alerts can be created based on any *filtered* view, even “Personal” views.

Oh, and another good way to use this feature would be on an Announcements list. Each announcement would have a category, such as the department that the announcement is targeted to. Create a view for each category. This way, your users can set up their own alerts on the announcements list, and choose to only be alerted when a new one is added for their department.
